Friday, 9:30pm, full room. The phone rings, someone stops serving to write a booking in a notebook, and ten minutes later a WhatsApp arrives asking whether there is a table for four at ten. Two channels, two people, the same answer. That is the starting point for almost every restaurant that asks us to automate bookings with AI: what is missing is not software, it is someone answering in time.
The problem is not booking: it is everything around it
Booking a table by phone works, but it costs. The phone rings at 1:40pm on a Friday with a full room, someone leaves service to answer, writes down a name nobody can read later, and by 9pm there is a table booked for four that stays empty. Booking itself was solved years ago; what is still broken is the information around it: allergies, pushchairs, terrace tables, last-minute cancellations and customers who message on Instagram because they do not want to call.
An AI agent does not replace your booking system: it works in front of it. It takes the request on whichever channel it arrives, collects what you need to know and leaves the booking ready to confirm. The rest is still down to the team.
What an AI agent can actually do
- Answer on WhatsApp and Instagram out of hours. Sunday-night bookings are made when people have dinner, not when you open.
- Handle the usual questions. Menu, opening hours, whether there is a terrace, whether dogs are welcome, where to park, whether there are gluten-free options. The same four questions every week.
- Collect the missing details. Party size, time, phone and customer notes, in a format nobody has to interpret by hand.
- Confirm and remind. A message 24 hours ahead cuts no-shows from forgotten bookings, the ones that hurt most on a Saturday.
- Work the waiting list. When a table frees up, telling the first person on the list is one message, not three calls.
What it must not do
The temptation is to let it answer everything. In a restaurant there are three clear limits. First, allergens: the agent can confirm what the menu states and refer to the kitchen, but must never promise a dish is free of traces. Second, large groups and events: a table of twenty or a set menu is negotiated with a person. Third, complaints: if someone writes upset about last night's service, the conversation goes to a manager immediately.
Example of how it works: a restaurant in San Pedro takes the booking on WhatsApp, the agent confirms time and party size, asks about allergies and points out that a terrace table cannot always be reserved. That last line, which sounds minor, avoids the argument at the door.
How to fit it into a service that never stops
- Start with one channel. WhatsApp is usually the most rewarding. Six weeks later, if it works, add Instagram or the website.
- Write the script with the team. Whoever works the door knows the real questions; the script is written from that list, not from the owner's idea.
- Define the handover. One word or a specific situation that cuts the automated conversation and alerts the manager.
- Review the first week. The conversations are read one by one and the replies that came out cold or imprecise are fixed.
High season and low season are not run the same way
In July and August on the Costa del Sol volume multiplies and the agent mostly stops you losing requests. In winter, with fewer bookings, its value is in follow-up: announcing weekend menus, bringing back customers who have not returned and filling the quiet nights. It is the same tool with two different scripts, and they should be written separately.
Mind the opening hours: if the restaurant closes on Mondays, the agent has to know. A message offering a table on a closed Monday is worse than no answer at all.
What you need in place before you start
- An up-to-date menu with prices. The agent answers with what you give it. If the menu changes every season, someone has to update it.
- A booking system or a clear diary. The agent collects; a person confirms. No new software is needed to start.
- Someone responsible for the channel. A person who reviews the handed-over conversations every day and replies quickly.
What it costs and what to expect
AI agents and custom software are quoted case by case: channels, conversation volume and whether it has to integrate with your booking system. There is no catalogue rate because two restaurants of the same size can need different things. The quote is agreed in writing before we start.
Honest ROI line: if the agent saves two empty tables per service over a weekend, the maths does itself. If your restaurant has few bookings and they all come by phone during office hours, it probably will not pay off, and we will tell you.

Why Solaris
We build AI agents for local businesses on the Costa del Sol and test them against real conversations before switching them on. If your restaurant serves several languages in season, the script is written for that.
- Custom quote. No catalogue rate: it depends on channels, volume and integrations.
- Local business specialists. Restaurants, clinics, garages and hair salons on the Costa del Sol.
- Test before launch. We review the first week's conversations and adjust the script.
