How to reply to Google reviews without sounding like a robot

October 21, 2026 6-minute read

Your listing has forty reviews and thirty replies copied from the same paragraph. «Thanks for your feedback, see you soon.» Anyone reading that sees a template, not care. On the Costa del Sol, where plenty of customers compare two or three listings before calling, the reply is one of the few things you control completely.

Why the reply carries so much weight

A public reply has two readers: the person who wrote the review and everyone who reads it afterwards. The second one is the one that matters for the business. A reply that names the service, the date and what you did tells a story; a «thanks for your opinion» tells none, and repeated ten times it weakens all ten.

  • It is the only part you fully control. You do not decide what they write, you do decide how you answer.
  • It shows before the rating does. On mobile, the first reply appears without opening the full listing.
  • It leaves a trail of how you work. Ten careful replies build an image of reliability you cannot buy.

The structure that works

1. Greet by name

First name is enough. Skip «dear customer»: it reads like a certified letter.

2. Acknowledge the specific

Mention the service or the day. It shows you know what they are talking about, even if you disagree.

3. What you did or will do

One concrete measure beats three promises. If there is nothing to fix, say so calmly.

4. A short sign-off

One line. Two sentences cover almost any review.

Which tone for which review

Type of reviewToneWhat to avoid
Five stars with detailPersonal and gratefulReplying with the same text to all
A lukewarm four starsOpen, with a questionArguing about the missing star
A genuine complaintCalm and specificMaking excuses, blaming the customer, sarcasm
A fake or competitor reviewNeutral and factualAccusing in public without proof

Example of how it works: one complaint, two replies

The robot reply

«Thanks for your comment. We are sorry about what happened and will work to improve.»

It fits any business, any sector and any complaint. Which is why it fits none.

The useful reply

«Thanks for telling us, Laura. Last Saturday we had two weddings and table 4 was served late. We have reorganised the kitchen shift so it does not happen again. Drop by and the first drink is on us.»

It names the problem, does not deny it and says what changed. The next person reading it decides with more information.

Mistakes that take more than they give

  • Replying in anger. A defensive comeback stays published forever and everyone reads it except the person who provoked it.
  • Sharing customer data. Never booking dates, phone numbers or health details in a public reply.
  • Offering discounts in exchange for changing the review. It breaks Google's policies and reads like a bribe.
  • Arguing about the number of stars. The rating is already there; your job is the conversation, not the scoreboard.

If the conversation needs more than three sentences, take it off the listing: a private message or a call. If you want the full plan for hard reviews, it is in how to handle negative Google reviews.

How long it takes to do well

A business with two or three new reviews a week can answer them in twenty minutes, provided the criteria are decided in advance. The problem is not time: it is improvising every reply at eleven at night. With a tone guide and four saved structures, a reply takes two minutes.

In the Local Pack (€150/month + VAT) we manage replies with you: we draft them and you approve before they go live. The Content Pack (€250/month + VAT) adds SEO articles on your site for service searches.

How to organise it when you have no time

With two or three reviews a week, the hard part is not the writing: it is not improvising at eleven at night. These four decisions save most of the work.

  • A fixed slot every week. Two set days in the diary for replies. Leave it for «when there is a gap» and they pile up, so the reply gets written in a hurry.
  • Who signs. Decide whether the person who served the customer replies or one person speaks for the business. Mixed voices on the same listing show.
  • A tone document. Three or four written rules: first name or surname, always name the service, never share personal data, move to private when it gets complicated.
  • A clear limit. If a reply takes more than ten minutes, the case is settled by phone and the public reply shrinks to the first sentence.

And one detail that gets forgotten: thank people for four-star reviews too. They are the most useful ones, because they say what is missing for the fifth.

Why Solaris

We write replies for Google listings of Costa del Sol businesses and review them with you before they are published. No templates, no copy and paste: each reply is written from what actually happened.

Frequently asked questions

Yes, and within a reasonable time: two working days is a good benchmark. Good ones are the best moment to underline a detail of the service, and bad ones have their own protocol.
You can reuse the structure, never the text. An identical reply on five reviews is spotted immediately and weakens all of them.
Two or three sentences in most cases. If you need more, the matter is probably better handled privately.
Reply in a neutral tone without accusing: «we cannot find a booking under that name, please get in touch if there was a mistake». Readers see that you checked.
No. Tying a refund or a discount to removing a review breaks Google's policies and can end up penalising the listing.
Yes. In the Local Pack we draft the replies and you approve them before they go live, so the business keeps its own voice without losing time.
